Who is responsible
Libertas GH is the responsible party for the personal information processed through this portal, and is also the Information Officer for the purposes of the Protection of Personal Information Act.
To exercise any of the rights below, or to raise anything to do with your personal information, contact Libertas GH at support@libertasbrportal.co.za.
What we collect and why
- Identification number and email address — to match you to the correct investor record and to verify that you control the address.
- Contact details — to keep investor records accurate.
- Identity and supporting documents — to confirm that you are the investor or an authorised representative.
- Your declarations — the capital amounts and confirmations you submit.
- Access and activity records — to keep an audit trail of who did what.
How your information is protected
- Your identification number is matched using a keyed one-way fingerprint, so it is never searchable in plain form. The number itself is also kept, encrypted, so that Libertas GH can link you to your investment records. It is never shown in the portal, it is available only to an authorised administrator, and every occasion on which one is read is recorded against that administrator’s name together with the reason they gave.
- Documents are held in private storage and are opened only through short-lived links, which are logged.
- Access to your records is restricted to your own approved investor profile.
- Your vote is recorded with the date and time and with the browser you voted from. Your internet address is not recorded. Each investor may cast one vote, which is enforced against your identification number rather than against where you voted from.
Your rights
You may request access to, or correction of, the personal information Libertas GH holds about you, and may object to processing, subject to the record-keeping obligations that apply to Libertas GH. Contact Libertas GH at support@libertasbrportal.co.za.
If you are not satisfied with the response, you may complain to the Information Regulator of South Africa.
Retention
This portal is a temporary exercise. It is open for one month so that investors can confirm their details, declare their investments and record their vote.
At the end of that month Libertas GH takes a copy of everything submitted, and the portal and its database are then destroyed. Nothing you submitted remains in the portal after that point.
The copy Libertas GH takes is held under the record-keeping obligations that apply to Libertas GH, and your rights above continue to apply to it. Destroying the portal ends the portal's copy of your information; it does not end the records Libertas GH keeps of its own.
